    The Role:

     

    Our Office Administrator is the face of WildBrain’s New York office and is responsible for providing a great first impression and administrative support to clients, visitors and our own teams. This role also will help to support various teams, working with our Peanuts brand!

     

    The ideal candidate is friendly and organized, an expert at communication and time management, and quickly switching between tasks.

    Responsibilities

    You will get to work on…

     

    • Act as a first point of contact for the office, greeting internal and external stakeholders, managing and routing phone calls and correspondence (email, letters, packages) etc.
    • Support PWW finance in coordinating invoice payment process with WildBrain in Toronto.
    • Code facilities related invoices and log and prepare invoices for payment.
    • Monitor office supply inventory including stationery, consumables, printing supplies, etc. Order supplies as needed.
    • Coordinate any necessary building maintenance required through the landlord and various contractors/vendors.
    • Assist in vendor relationship management.
    • Liaise with Landlord to submit service requests e.g. office temperature, lighting and other environmental issues on behalf of employees of WildBrain.
    • Coordinate shipping and receiving for the office, onsite and offsite storage, and other product inventory facilities and resources.
    • Support SVPs by managing their calendars, scheduling meetings, coordinating travel, as well as managing and tracking expense reports
    • Plan, organize and coordinate internal meetings.
    • Assist in the planning process of facilities improvements, upgrades, moves and renovations projects.
    • Front line administrator for office security (e.g. programming cards for new employees internally and with base building, scheduling suite access, etc.)
    • Collaborate with and support other/all departments on projects and initiatives as needed.
    • Process facilities related inquiries and liaise with various departments and internal/external customers.
    • Assistance in the preparation of reports, filing and briefing documents for the facilities team.
    • Assume ad hoc duties as required.

     

    Qualifications

    You will be a great fit on our team if…

     

    • At least 1 year of experience as an office administrator, receptionist or related role
    • Strong customer service, communication (written and verbal) and organizational skills
    • Ability to multitask, be flexible and adaptable
    • Excellent attention to detail and problem solving skills
    • Ability to take initiative and go abobe and beyond
    • Experience with Microsoft Office
